Methodology

How The Recommendation Is Worked Out

Each 15-minute slot of the recipient's week is graded Best, Good, Fair or Avoid. For cold email, Best runs from an hour before the workday starts to two hours in, Good covers the next two hours, Fair the rest of the day until its last hour, and everything outside working days and hours is Avoid. A B2B newsletter is Best for the first three hours of the day and Good after lunch. Consumer marketing is Best from 08:00 to 10:00 and 17:00 to 20:00 every day.

On the first and last day of a working week, each grade drops one step. Published reply studies show the middle of the week slightly ahead of Monday and Friday and weekends clearly behind; the difference between weekdays is small, so those days are lowered, not removed. The US Bureau of Labor Statistics American Time Use Survey shows why weekends are different for work mail: far fewer people work on a weekend day than on a weekday.

Time zones come from the IANA time zone database and working weeks from the Unicode CLDR, with three corrections for Bangladesh, Nepal and Indian offices. These are starting rules, not a forecast of your own results, so hold a window for a few sends and compare replies before you change it.

For work email, the best time is early in the recipient's working day, from about an hour before they start until two hours in, on a working day in their own time zone. That is when most people go through their inbox and decide what to answer. In a published study of 7.5 million cold emails, morning sends had the highest reply rate and late-evening sends the lowest. For consumer email, mornings and early evenings do better than late nights.
